Our plastic surgery practice is seeking a dedicated and compassionate Clinical Concierge to join our team. This individual will play a crucial role in enhancing the patient experience by providing exceptional care and support throughout their surgical journey. The ideal candidate will have a strong background in customer service, excellent communication skills and a genuine desire to help others feel their best.
**** This is a PART-TIME position for Tuesdays, Thursdays, and Fridays and will entail, on average, 25-30 hours per week. ****
About Us:
We are a boutique plastic surgery practice located in South Tampa offering the full breadth of aesthetic surgery, injectables, and oncologic breast reconstruction. This is a single surgeon practice that opened in September 2023. We are growing rapidly and looking for a talented, energetic team member to join and grow with us.
Responsibilities (includes but not limited to the following):
· Schedule appointments, manage patient records, and ensure seamless communication between patients and medical staff.
· Answer and direct calls; handle patient inquiries daily by phone, email, and text communication as they are received
· Greet and check patients in and make sure consultation room is ready for in-office appointments
· Provide detailed information about surgical procedures, recovery expectations, and care instructions to patients.
· Generate quotes and assist with financial options, including discussing payment options and cost estimates.
· Manage and maintain conversion spreadsheet: track and report weekly/monthly inquiries, inquiries to consults, and consults to surgeries
· Ensure patient consent forms have been completed prior to each appointment
· Manage surgical scheduling process including coordinating between patient and surgery center, completing necessary forms, and communicating with patient to obtain necessary documentation, prescriptions, labs, etc. that are needed to proceed with surgery
· Manage post-procedure communication between patient and provider as necessary
· Manage inventory by ordering and organizing supplies as necessary
· Foster a warm and welcoming environment, ensuring patients feel comfortable and supported throughout their experience
· Maintain confidentiality and adhere to all HIPAA guidelines and regulations.
Qualifications and Requirements:
· For successful performance in this role, the Clinical Concierge needs to execute all core responsibilities effectively. The qualifications outlined below reflect the necessary knowledge, skills, and abilities for the job. · High school diploma; a degree in healthcare administration, nursing, or related field is a plus.
· Previous experience in a customer service role within an aesthetic healthcare setting (plastic surgery, dermatology, or wellness/medical spa) is a plus, although not strictly required. If not, candidate MUST have previous customer service experience within a prestige setting (hotel, high-end boutique, etc)
· Strong written and verbal communication skills and the ability to effectively present information and respond to questions from patients, physicians, and staff.
· Ability to write reports and summarize correspondence with patients
· Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals
· Ability to manage multiple tasks simultaneously
· Must be familiar with MS Office, including Excel
· Must be familiar with EMR systems (either PatientNow, Nextech or ModMed)
Must be willing to “wear multiple hats” – we are a growing plastic surgery practice and as we continue to evolve, so will the role. We are looking for a candidate that can grow with us and possibly enter a more managerial role down the road, depending on work performance and career goals.
Job Type: Part-time
Pay: $20.00 - $25.00 per hour
