Full-time Surgery Coordinator needed for a busy Orthopedic Office, with two physicians. Hours are Monday through Friday, 8:30 am – 5:00 pm. Responsible, positive, and motivated candidates looking for a full-time position, only please.
Excellent time management and organizational skills are an absolute requirement for this position, as well as attention to detail.
The surgery coordinator functions as the primary liaison between the physicians, the patients, and the surgical facilities with associated staff. The scheduler schedules patients for surgery, submits pre-authorizations to insurance companies and schedules the peer to peer calls if needed to obtain approval, sends appropriate information to the surgical facilities, anesthesia, and surgical assistants prior to the surgery dates, and calculates patient responsibility and collects from patients' their estimated financial responsibility prior to surgery as well.
Duties include:
o Schedule patients for surgery per physician order and in accordance with office policies
o Educate patients about the estimated cost of their surgery after verifying their insurance benefits. Pre-authorize the surgery with appropriate codes. Collect surgery deposit and any pending balances prior to patient’s surgery day.
o Ensure patients needing pre-operative clearance are set up with all appointments needed, and that our office receives all necessary clearances prior to surgery
o Coordinate with the surgery facility, anesthesia, surgical assistants, and appropriate equipment reps to ensure a smooth surgery schedule.
o Ensure patients know their arrival time, pre-op instructions, and facility location
o Schedule lunches with medical equipment sales reps, drug reps, etc. and meet with when necessary
o Obtain operative reports from facilities, scan to EMR system, and send reports and HCVA’s to surgical assistants as requested. After scanning, give Dr. Noack his op reports.
o Schedule Diagnostic Studies (MRI/CT/Bone Scan, EMG, Doppler studies), complete and send any scheduling form needed with patient demos, prescription, and recent visit note to facility . Scan to patients chart under diagnostic studies
o Schedule Physical Therapy. Complete and send any scheduling form needed with patient demos, prescription, and recent visit note to facility . Scan to patients chart under History, PT.
o Obtain pre-authorization for any DME over $500 for WC patients
o Triage and return all patient phones calls throughout the day
o Triage and file incoming faxes throughout the day
o Scan all respective documentation into patient EMR charts and document all phone conversations in EMR.
